Executive Assistant

Job Title : Executive Assistant
SUMMARY
Schedules appointments, gives information to callers, prepares correspondence, and otherwise relieves executive of clerical work and minor administrative and business
details.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other
duties may be assigned.
1. Schedule and organize complex activities such as meetings, travel, and department activities for Executive.
2. Create and develop visual presentations for the Executive.
3. Organize and prioritize large volumes of information and call.
4. Sort and distribute mail. Open mail for the manager and determine level of priority.
5. Answer phone for Executive. Takes message or field/answer all routine and nonroutine questions.
6. Assist the management staff in the management of their schedules.
7. Handle confidential and non-routine information.
8. Work independently and within a team on special nonrecurring and/or ongoing projects.
9. Act as a project manager for special projects which may include planning and coordinating multiple presentations, disseminating information, and organizing company wide events.
10. Design and compile general correspondences, memos, charts, tables, graphs, business plans, etc.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
1. Bachelor’s degree (B.A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
2. Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database, and presentation software.
3. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
4. Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variable in situations where only limited standardization exists. Ability to interpret a variety of
instructions furnished in written, oral, diagram, or schedule form.
CERTIFICATES, LICENSES, REGISTRATIONS
Maintains a valid Drivers License.
