Description Administrative Assistant, Auxiliary Services Answer telephones and give information to callers, take messages,transfer calls to appropriate individuals. Arrange conferences, meetings, and travel reservations for office personnel. Compose, type, and distribute meeting notes,correspondence, reports. Greet visitors, handle their inquiries, and direct them to the appropriate persons
Locate and attach appropriate files to incoming correspondence Mail newsletters, promotional material, and other information. Maintain scheduling and event calendars. Make copies of correspondence and other printed material. Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters Schedule and confirm appointments for clients, customers, or supervisors Set up and maintain paper and electronic filing systems for records, correspondence, and other material Take dictation in shorthand or by machine, and transcribe information Collect and disburse funds from cash accounts, and keep records of collections and disbursements Conduct searches to find needed information, using such sources as the Internet Coordinate conferences and meetings Learn to operate new office technologies as they are developed and implemented Keep record of all stationary (office stationary, letterheads, envelopes, business cardsetc), their order forms and their usage and distribution among the offices staff and other relevant parties. Maintains their inventory check as well
Qualifications Minimum education requirement: University degree in a related field Experience: Minimum four years experience in administrative work Skills: • Proficiency in the English and Arabic languages, both written and oral. • Strong communication and organizational skills. • Must maintain a high degree of confidentiality at all times • Excellent knowledge of computer skills including Microsoft office and SAP • Multitasks handler and working under pressure • Desire to work in a dynamic, fast-paced, and entrepreneurial environment • Attention to detail and ability to meet deadlines efficiently
