Job Duties and Responsibilities:
· Provide an impeccable secretarial support to the functional partner and Group managers in order to facilitate to smooth of the Group.
· Schedule and maintain appointments/ meetings of the Group management ensuring effective use of their time.
· Coordinate with HR Department for the administrative services required for the Group.
· Handle the Group administrative tasks independently.
· Maintain an organized filling system ensuring easy retrieval of documents and records.
· Handle all travel arrangements for the Group while adhering to the company policies.
· Draft communications as instructed by the Group management, in addition to routine corresponds.
· Provides administrative support to the partner and member of management staff.
· Drafting selected routine and non-routine correspondence, filling scheduling appointments and assisting office visitors.
· Organizes and provides administrative support to meetings and presentations.
· Preparing confidential information for the partner.
· Submitting accurate and timely reports to the partner.
· Providing complete back up support to the partner.
· Have strong understanding of company policies, and procedures.
· Serving as a vital link between the high management and employees.
· Assisting in the preparation of proposals and tender submissions.
· Attending the meeting and such other meetings as assigned and preparing the minutes of meeting.
· Arranging meetings, conferences and appointments.
· Answering correspondents.
· Sending faxes and communications to customers.
· Receiving faxes from clients and distributing to the concerned person.
· Arranging business trips (ticket reservations and hotels).
· Ability to write business letters.
· Follow up with other departments and personnel.
· Helps prepare quarterly sales and delivery report.
· Preparing catalogues and company profile and sending to customer as per requirements.
· Filling responsibility.
· Performs variety of complex secretarial, clerical and administrative duties.
· Maintaining and adjusting the Petty Cash of the Chairman’s office within budget limitations.
· Maintaining office supplies and paper stock
· Completing all administrative paperwork accurately and in a timely and professional manner while distinguishing and balancing priorities
· Maintain confidentiality on departmental matters, as appropriate.
· Handling the administrative activities at the office.
· Organize the appointments.
· Establish filling system and computerized filling.
· Handles petty cash.
· Taking minutes of meeting.
· Coordinates with the other departments.
· Prepares reports and power points presentation
· Writes correspondences independently
· Initiates follow up actions on pending subjects.
· Perform other duties as assigned.
· Performing administrative duties, including preparation of special and periodic reports
Qualifications
Bachelor degree in any relevant discipline, Mastery of English Language, Mastery of MS Office, Excellent Communication ( Interpersonal and Written) and translation Skills, Proactive & Able to work under pressure- Excellent English Language (Spoken and Written)- Excellent translation and computer skills (Word- Excel and PowerPoint).
